Begin Maintenance Scheduling


Once you have entered the equipment and rooms for your hotel into the Hotel PM database you are ready to begin scheduling preventive maintenance. The program does not automatically issue work orders for preventive maintenance. Rather it maintains a list of task that are due to be completed and allows the scheduling of these tasks in a timely and efficient manner.

 

There are three types of preventive maintenance that the Hotel PM program tracks. These are Equipment, Rooms, and In Room HVAC units. The process for scheduling each type of maintenance task is similar but varies slightly to reflect the differing nature of each category.

 

Before dealing with the specifics of scheduling for each type of work, let's look at some common principals that apply to all types of maintenance in the Hotel PM program. Preventive maintenance is organized as tasks that should be repeated at a regular interval. The Hotel PM program is designed to organize and record this process. Starting from an initial service date for each task the program will present a list of tasks that are due. These tasks can then be assigned to the appropriate staff or contractors for completion. Tasks that are not assigned are held in the appropriate queue until they can be scheduled. When a work order is completed the database is updated and a new service due date is computed. Using this approach the Hotel PM program builds a maintenance history for equipment and rooms that shows the actual service record rather than an idealized schedule that may or may not have been adhered to.

 

To complement the preventive maintenance tasks the Hotel PM program also tracks unscheduled maintenance as Service Calls. Service calls can be associated with equipment or rooms, allowing unscheduled service to be included in the maintenance history for each room or piece of equipment.
