Each piece of equipment is identified by an equipment code and a unique ID number or character string. You may also supply a verbal description of the equipment, its location and the area of the hotel it serves. Providing this information will result in more meaningful work orders for your maintenance personnel.
The tabs on the bottom half of the equipment record provide information about the equipment, such as serial numbers, manufacturers and installation dates. The Hotel PM system also allows you to track essential data on individual components of your equipment.
Five independent maintenance cycles can be maintained for each piece of equipment. The first four are Monthly, Quarterly, Semi-annually and Annual service procedures. When necessary you can schedule additional service with the other service cycle.
To select a service cycle click on the appropriate tab, click on the Service Required box and enter the necessary information.
Using the Monthly Service tab as an example., see figure. You should specify the next service date, estimate time required to perform the service and the Instructions for this service cycle. Instructions can be as brief or as detailed as you wish. They will appear on the work order when the service is scheduled.
The Last Service data can also be specified or left for the Hotel PM system to maintain after the system is functional.
Once the essential data has been entered click the Add button to save this piece of equipment. Since many similar pieces of equipment can exist in a hotel the system will blank the ID number and provide you the opportunity to add similar equipment by entering a new ID and making the necessary changes to any of the individual tabs.
When you are done adding equipment click the Close button to return to the Equipment List.
