The process for scheduling Equipment maintenance has five primary steps. Begin by selecting Equipment PM from the Scheduling menu or the Schedule icon on the toolbar. The system will display a window from which you can provide the basic parameters used to determine which Equipment Maintenance tasks are due.
If this is the first time that you have open the Equipment Scheduling window a special series of screens used to initialize the maintenance schedule will be opened. See Initializing Equipment Maintenance for a description of these screens.
If your database contains multiple Hotels you have the option of selecting a specific Hotel form the drop down list or of leaving the Hotel name blank and scheduling maintenance for all hotels in the database.
First enter the date for wish you want to schedule maintenance tasks. The system will select all unscheduled maintenance due on the selected date or prior to that date. Notice that the oldest equipment PM date is displayed just above this box. If your schedule date is prior to the oldest date then to maintenance tasks will be displayed.
Next enter the number of man hours to be scheduled at this time. The system uses this number as a benched mark when it searched the database for Equipment to be serviced. The default value for Available Man-hours is displayed when the window is opened. See System Preferences for information on setting this default value.
The Hotel PM system allows you to specify the guidelines it should use if the tasks due on or before the selected date do not consume all of the available man hours. These are called Extra hours by the Hotel PM system.
There are four (4) options available:
When any of the last three options is selected you can also provide the system with the number of days that it should look ahead when searching for Equipment maintenance tasks.
Once you have selected the pertinent information click on the Schedule button and the Hotel PM system will scan the database for Equipment maintenance tasks that meet the necessary requirements. These Tasks will be presented in the Equipment Maintenance Task List .
