Work Order Numbering

 

The Hotel PM system provides a variety of schemes for number the maintenance and service work orders that it generates. The work order number is created by combining three separate components to create a work order number. These componets are a sequence number, the current year and a seperator field. Only the sequence number is required.

 

The basic component of each work order number is a sequence number generated by the system. You can control sequence number by specifying the last number used. The system will add one to this number when a new work order number is needed.

 

You can control the appearance of the sequence number by specifying if it should include leading zeros. If leading zeros are requested then you must specify the number of digits to be used for the work order.

The current year can be used as a prefix or a postfix for the sequence number. That is it can be placed before (pre) or after(post) the sequence number. You also have the option of using a two or a four digit number for the year.

 

Finally you can include a separator between the year and the sequence number. This can be a single dash or a two character code based on the type of work order being created. SC is used for service calls and PM for preventive maintenance requests.

 

The Display Sample button is used to update the sample work order number which appears next to the button in the window. No one numbering scheme is superior to the others, it is simply a matter of picking the scheme which best suits your own needs. It is also a good idea to select a numbering scheme and stick with it.

 

The Work Order numbering scheme can be changed at any time, but only new work orders are effected by the changes. Any existing work orders will keep their previously assigned work order numbers. Also note that the system maintains its own internal notations on the type of work order and the year it was entered. The work order number created here is primarily to aid you and other personel when reviewing information in the Hotel PM database.
